Configure AI features and access

Completed

Sales Agent uses communication with sales contacts and CRM data to generate email assistance, summaries, and meeting insights. Tenant administrators set the organization-wide boundary for AI features. CRM administrators configure individual environments and feature access within that boundary.

Copilot AI availability can depend on the location of your tenant and CRM. Some organizations must consent to data processing outside their geographic region before AI features are available. After you change Copilot AI settings, allow up to 30 minutes for them to take effect.

Configure Copilot AI for the organization

A tenant administrator controls whether CRM administrators can enable Copilot AI in environments.

  1. Open the Sales Agent administrator settings in Outlook or Teams.
  2. Under Tenant, select Copilot AI.
  3. Turn on Copilot AI.
  4. If prompted, review and select Allow moving data outside boundaries.
  5. Under Apply to, select The entire organization, Specific security groups, or Exclude specific security groups.
  6. Select Save.

If a tenant administrator turns off Copilot AI, CRM administrators can't turn it on for individual environments.

Configure Copilot AI for an environment

A CRM administrator controls AI capabilities for each environment they manage.

  1. Open the Sales Agent administrator settings.
  2. Under Environment, select Copilot AI.
  3. Turn on Copilot AI.
  4. Configure data movement consent if the option is available.
  5. Configure whether Sales Agent stores and shows AI-generated sentiment analysis and meeting participant statistics.
  6. Optionally turn on preview features for a test environment.
  7. Select Save.

Preview features are off by default and aren't intended for production use. For current regional requirements, see Turn on Copilot AI features.

Configure feature access

Under Environment, select Access settings to enable or restrict individual capabilities. Security groups can allow or restrict access.

  • Allow access to Sales Chat controls whether sellers can receive sales-grounded responses from the Sales agent in Microsoft 365 Copilot.
  • Allow meeting insights controls whether post-meeting insights are stored in Microsoft Dataverse for all users or selected security groups.

Meeting insights are on by default. Insights from meetings marked Private aren't stored in Dataverse. Copilot AI must be enabled before meeting insights can be generated. For more information, see Configure access settings for Sales Agent.

Configure recordings and meeting notifications

Select Meeting insights in Sales Agent administrator settings to configure recording and notification behavior. Auto-record sales meetings is off by default. When enabled, it applies only to meetings with external contacts where Sales Agent was added automatically before the meeting. Private meetings aren't recorded automatically.

Administrators can also configure daily meeting summaries and the delivery time for pre-meeting preparation notifications. For current options, see Configure recordings and notifications for sales meetings.
